Moving goods across state lines in India means more than booking a truck or a flight. Missing or incorrect documentation is one of the most common reasons shipments get stopped, detained or penalised in transit. For supply chain managers, getting compliance right upfront is as important as choosing the right route.

‍

‍

What Is an E-Way Bill?

‍

An e-way bill is an electronic document generated on the GST portal for the movement of goods. It is generally required for interstate shipments where the consignment value exceeds ₹50,000, and it travels with the goods as proof that the movement is registered and tax-compliant.

‍

It has two parts:

‍

  • Part A: Consignment details such as the recipient's GSTIN, place of delivery, invoice number and date, goods value, HSN code and reason for transport
  • Part B: Transport details, including vehicle number for road movement or the transport document number for air and rail

‍

‍

The Pre-Dispatch Checklist

‍

Before any interstate shipment leaves your facility, confirm:

‍

  1. Tax invoice or delivery challan is issued and matches the goods being shipped
  2. E-way bill is generated with correct Part A and Part B details
  3. GSTINs are verified for both consignor and consignee
  4. HSN codes are accurate for every item in the consignment
  5. Goods value is declared correctly, including taxes where applicable
  6. Transport document (LR, airway bill or consignment note) is issued and linked
  7. E-invoice (IRN) is generated if your business falls under e-invoicing requirements
  8. Copies are accessible to the driver or carrier, printed or digital

‍

‍

Watch the Validity Window

‍

E-way bills carry a validity period based on distance, typically one day for every 200 km for regular cargo. If a shipment is delayed due to breakdown, transhipment or other issues, the bill must be extended before it expires. An expired e-way bill is treated the same as having none.

‍

‍

Common Mistakes That Cause Delays

‍

  • Mismatched invoice and e-way bill details
  • Wrong or missing vehicle number after a vehicle change
  • Letting validity lapse during transit delays
  • Incorrect GSTIN or HSN codes
  • Splitting consignments without updating documentation

‍

Non-compliance can lead to penalties and detention of goods, turning a paperwork error into a delivery failure.

‍

‍

Making Compliance Part of Your Process

‍

The most reliable shippers don't treat documentation as a last-minute task. They standardise checklists, verify details before dispatch and work with logistics partners who flag issues early, rather than at a checkpoint.
